
- The STEM Travel Grant is open to female employees from any Australian university, university research affiliate or a PHD student employed by an Australian university that works in, studies or researches in the STEM fields. The grant application period runs from Monday 21 August to Friday 20 October 2017. Participants can be STEM employees of existing Campus Travel clients or prospective clients ('Applicants'). Applicants must answer the four questions about their STEM project or initiative in 500 words or less. Applications needs to be submitted via the Campus Travel website campustravel.com.au/about/initiatives/stem-travel-grant. The Grantor is Australian OpCo Pty Ltd (ACN 003 279 534) trading as Campus Travel of 275 Grey Street, South Brisbane 4101 (“the Grantor” or “Campus Travel”).
- The successful Applicant ('the Grantee') must use the whole of the Grant exclusively for their work related trip/project or to further their STEM related (Project') (as stipulated in the application submitted). Grant must be used for one trip (not multiple).
- Trip must be booked and travelled by 31 October 2018. If the trip is not completed by the end date specified, no part of the Grant may be paid out or otherwise used after the completion date. The Grantee must promptly advise the Grantor of any material change which may affect the Grantee’s ability to undertake or complete the Project within the specified period.
- Applicants and Grantee must acknowledge the support of the Grantor in any published or display marketing collateral and PR channels related to the travel grant. Support including but not limited to below:
- During grant application period: Extracts from our top entries will be featured weekly on our website news hub pages, social media platforms including Facebook, Linked In and Twitter pages.
- While on their grant-funded trip, Campus Travel encourages the successful applicant to post positive commentary on our Facebook page. Facebook posts including suitable photos of the trip are also encouraged.
- After the trip: Campus Travel requests a few images from your trip that we can share on our social media platforms as well as an interview for a feature story that Campus Travel will compile. You may also be asked to conduct a face to camera interview so Campus Travel can use video footage to promote the following year's travel grant initiative. Material will be used in ongoing Campus Travel marketing purposes and collateral e.g. trip case study, public relations activities including a feature story etc. Applicants must also be open to conducting media interviews if required about their plans for the grant.
- The Grantee must ensure that all rights, consents, licenses and permissions have been obtained prior to submitting information about their work. If the grantee does not have approval to disclose their project then Grantor has the right to retract the grant funds from the grantee. As a condition of entry, the Applicants consent to the Grantor using the Applicants’ name, likeness, image and/or voice in the event they are the successful Applicant (including photograph, film and/or recording of the same) in any media for an unlimited period of time without further notification, remuneration or compensation for the purpose of promoting, publicising or marketing this Grant (including any outcome), and to promote any products or services distributed or supplied by Campus Travel. The Applicants agree that, in the event they are the successful Applicant, they will participate in all reasonable promoted activities in the relation to the Grant as requested by Campus Travel.
- By accepting the travel grant, Grantee acknowledges that variations, deletions and additional conditions may apply to the grant. Further by participating in the grant application, the Applicants also acknowledge that a further primary purpose for collection of an Applicants’ personal information by the Grantor is to enable it to use such information to assist Campus Travel in improving its products and services and to contact the Applicant in the future with information on special offers or provide the Applicant with marketing materials via any medium including mail, telephone and commercial electronic messages (SMS, MMS or IM and email). The Grantor will handle such personal information in accordance with its Privacy Policy (campustravel.com.au/company/privacy-policy) and may share such information with its related entities and promotional partners who may also contact the Applicants with special offers in this way. By entering an application for the Grant, the Applicants agree that the Grantor may use the Applicants’ personal information in the manner detailed in this condition.
- It is the responsibility of the Applicants to comply with their company/organisation's policy in respect to the acceptance of any grant. All Applicants who submit an application for the grant, grant Campus Travel a non-exclusive license to exercise all rights in perpetuity throughout the world in the application and all other material provided by the Applicants to Campus Travel pursuant to the application at any time. The Applicants also represent and warrant that the exercise of the rights granted to Campus Travel in these terms and conditions will not infringe the rights of any third parties and the Applicants indemnify Campus Travel against any loss or damage resulting for any breach of this representation and warranty.
- Booking terms & conditions: Each grant consists of $5000 air credit and $1000 to be used towards land arrangements such as accommodation, car hire, transfers and tours. Total grant value is up to the maximum value of $6000 for 1 person. The grantee will be responsible for additional payment if trip is over $6000. Bookings are subject to availability at the time of reservation. Credit card fees apply. The $5000 air credit must be spent on Virgin Australia marketed and operated flights and booked through Campus Travel. Any code-share flights need to be paid for by the grant recipient. Booking travel with the voucher is subject to Campus Travel’s Booking Terms and Conditions. Charges imposed by the Australian Government and/or by foreign governments and/or authorities on departing/arriving passengers are payable by the passengers and Virgin Australia may request payment of such taxes and/or charges before the tickets can be issued. All out of pocket expenses, spending money, meals, insurance, passports, visas, excess baggage charges, transport to and from departure point and all other ancillary costs are the responsibility of the grant recipient. The grant cannot be exchanged, transferred or sold for cash or traveller’s cheques. Changes may not be allowed once booked. However, if allowed, grant recipient must be responsible for paying any change fees.
- The Grantor (including its employees, directors, agents and contractors) will not be liable for any loss (including without limitation, indirect or consequential loss), damage, personal injury or death which is suffered or sustained (including but not limited to that arising from a party’s negligence) in connection with accepting the grant or using the grant, except for any liability that cannot be excluded by law (in which case such liability is limited to the minimum allowable by law). The Grantee may be required to sign an indemnity in a form approved by Campus Travel and all involved parties prior to being awarded the grant. If the Grantee does not sign such indemnity they may be disqualified from the award of the grant. The Grantee agrees to comply with any reasonable directions and guidelines in relation to the grant notified to it by Campus Travel.
- Applications will be judged by Campus Travel’s senior management group and approved by nominated Virgin Australia stakeholders. The successful applicant will be notified by phone and email by 30 November 2017. The 2017 travel grant recipient will be announced on the Campus Travel website and our social media platforms in the week following 30 November 2017. Applications will be reviewed on how well the submission addresses the four key questions / how the applicant’s work supports the development of a high-quality STEM project, enterprise or initiative and how the project or initiative contributes to the further development of STEM learning, development or outcomes. Eligibility of entries and the awarding of the Grant is solely within the discretion of the Grantor. Applications which the Grantor considers to be incomplete, incorrect or incomprehensible, to contain defamatory or offensive content or which infringes third party intellectual property rights are not eligible to win. Any Grantee who, in the opinion of the Grantor, tampers or interferes with the entry process in any way or does not properly comply with the entry process or these terms and conditions, will be ineligible to win the grant. In the case of disputes, the decision of the Grantor is final and no correspondence will be entered into.
- If a Grant is unclaimed (“Unallocated Grant”) as of COB (AEST) 2 December, 2017 then the Unallocated Grant will be deemed to be an unclaimed grant and the Grantor will select the next most eligible application (at the same location and where possible, using the same panel of judges as the selection of the successful applicant on 20 October 2016). In the event of any successful applicant being determined in the selection of the unclaimed grant, the successful applicant will be notified by phone and email.
- The winning applicant will be required to provide proof of affiliation/employment with an Australian academic organisation.
